Emergency Action Plan (EAP)

This Emergency Action Plan helps Club officials, coaches and players across EKRR FC — including EKRR AFC, EKRR Youth and EKRR Over 35 — respond quickly and calmly to an injury or emergency. Print it, keep a copy in the first aid kit, and make sure coaches and helpers know it.

Each Section / Team should complete a copy of this plan with the details of their own home venue and contacts.

In an Emergency – Steps

Stay calm and take charge. Follow these steps:

1.     Assess the situation — ensure it is safe to approach. Do not put yourself or others at risk.

2.     Attend to the casualty — the senior first aider takes the lead. Do not move someone with a suspected serious or spinal/head injury unless they are in immediate danger.

3.     If serious, call 999 — give the venue address and postcode above, describe the injury, and send someone to meet the ambulance and guide it in.

4.     Use the AED if available and trained to do so for a suspected cardiac arrest; start CPR.

5.     Suspected concussion / head injury — remove the player from play immediately, do not return to the session, follow ‘if in doubt, sit them out’ and the Wellbeing Policy. For under-18s, apply the stricter youth return-to-play protocol (minimum 23-day return-to-play). Do not let the casualty drive, or be left alone.

6.     For Youth Section incidents, notify the child’s parent or guardian as soon as reasonably possible — do not leave the child unattended, and do not release the child to anyone other than the person authorised on their registration form.

7.     Manage the rest of the squad — keep others back and calm; in the Youth Section, ensure other children are appropriately supervised at all times.

8.     Record what happened — complete an Accident / Incident Report Form as soon as possible.

9.     Report — notify the relevant Welfare / Child Wellbeing & Protection Officer, the Club Secretary, and the insurers where a claim may arise.

Calling 999 – What to Say

•       Your name and that you need an ambulance.

•       The exact location: venue, full address and postcode (and what3words if known).

•       What has happened and the casualty’s condition (conscious? breathing? bleeding?).

•       Whether the casualty is a child (state their age).

•       Stay on the line until told you can hang up.

Youth Section – Additional Considerations

•       Never leave an injured child alone. A second Official should stay with the rest of the group.

•       Contact the child’s parent or guardian as soon as reasonably possible using the emergency contact on the registration form.

•       Do not permit a child to travel home alone after any injury, and never release the child to an adult who is not authorised on the registration form.

•       Take particular care with head injuries — for U18s the graduated return-to-play is at least 23 days from the date of injury (see Wellbeing Policy s.6.2).

•       If the injury raises any safeguarding concern (e.g. explanation is inconsistent with the injury), also report to the Club Child Wellbeing & Protection Officer.

After the Incident

•       Complete the Accident / Incident Report Form and pass it to the relevant Welfare / Protection Officer.

•       Check on the casualty’s welfare and follow up.

•       Review whether anything should change to prevent a recurrence.

•       For a head injury, follow the graduated return-to-play guidance in the Wellbeing Policy before the player trains or plays again.
