Social Media Guidelines
1. PURPOSE
Social media is a great way for EKRR FC to share news, results and photos across its Sections — EKRR AFC, EKRR Youth and EKRR Over 35 — and to build the Club’s profile. These guidelines help everyone use it positively and safely, and protect the Club’s reputation and its members. They support Section 13 of the Club Constitution, the Member Privacy Notice and the Codes of Conduct.
2. WHO THESE APPLY TO
These guidelines apply to anyone posting on the Club’s official channels — at Club or Section level — and to members (and, in the Youth Section, parents and guardians) posting about the Club on their own accounts.
3. OFFICIAL CLUB AND SECTION CHANNELS
• Only people authorised by the Executive Committee (for Club-wide channels) or by the relevant Section Sub-Committee (for Section-specific channels) may post as EKRR FC or as one of its Sections.
• The Club Social Media & Communications Officer is responsible for Club-wide channels and account access. Section Sub-Committees are responsible for their own channels.
• Account login details are held securely and access is reviewed when post-holders change.
• Posts should be accurate, respectful, in keeping with the Club’s values, and appropriate to the audience (particularly for Youth Section content).
4. PHOTOGRAPHY, VIDEO & CONSENT
Before posting images or footage of identifiable individuals:
• Check they have consented (the consent register records this).
• Do not post identifiable images of anyone who has declined.
• Never post personal information (such as home address, contact details, school or detailed location) alongside an image.
• For under-18s or protected adults, the appropriate consent must be in place from the parent or guardian (and, where the young person is aged 12 or over, their own view sought and respected).
5. ADDITIONAL CARE FOR THE YOUTH SECTION
Content involving children requires extra thought. In the Youth Section:
• Prefer team/action photographs over posed close-ups of individual children.
• Where an individual child is named, use first name only unless the parent has explicitly agreed to the full name being used.
• Do not share images or videos that identify children in a way that could reveal school, home area or other personal details.
• Refer any concerns about content of, or involving, children to the Youth Section Child Wellbeing & Protection Officer.
6. DO
• Celebrate results, performances and milestones across all Sections.
• Thank sponsors, volunteers, opponents and match officials.
• Keep content positive, inclusive and good-humoured.
• Respond politely to questions and comments.
7. DON’T
• Post anything discriminatory, abusive, threatening or that could be seen as bullying.
• Criticise match officials, opponents or other clubs.
• Share private conversations, disciplinary matters or members’ personal data.
• Post in anger — if in doubt, don’t post; check with the Committee first.
• Bring the Club into disrepute.
8. MEMBERS’, PARENTS’ AND SUPPORTERS’ OWN ACCOUNTS
When posting about the Club on personal accounts, members, parents (in the Youth Section) and supporters are expected to follow the same standards of respect set out in the Codes of Conduct. Content that is discriminatory, abusive, targets other players or officials, or brings the Club into disrepute, may be treated as a disciplinary matter under the Club Constitution and — in the Youth Section — as a possible safeguarding matter.
Parents in the Youth Section are asked to take particular care when posting content involving their own or others’ children, and to respect the Club’s consent decisions for other children.
9. PRESS & MEDIA
Media or press enquiries about the Club or any of its Sections should be referred to the Executive Committee rather than answered personally.
10. REVIEW
These guidelines will be reviewed at least once per season by the Executive Committee.
